Privacy Policy
The Short Version
We collect the minimum data needed to run the service. Your conversations with the AI are encrypted and private—we don't use them to train models or improve anything. You can delete everything whenever you want.
We use third parties for authentication (Clerk), payments (Stripe), AI (Anthropic and OpenAI), and hosting (Vercel, Neon). They have their own privacy policies.

What Data We Collect
Account Information
- Email address - Stored by Clerk (our authentication provider)
- Name - Encrypted and stored in our database
- Team size, industry, role - From your onboarding, stored in our database
Usage Data
- Progress through modules - Which modules you've completed
- Conversation history with AI - Your chats with the AI coach, encrypted at rest
- Payment information - Handled entirely by Stripe, we never see your card details
Optional Marketing
- Newsletter subscription - If you opt in, we'll add you to our Substack mailing list
Future: Analytics
We plan to add website analytics (like Google Analytics) to understand how people use the site. When we do, we'll update this policy and give you the option to opt out.
How We Use Your Data
To Provide the Service

AI Conversations
Your conversations with the AI coach are:
- Encrypted at rest in our database
- Only used to provide you the coaching experience
- Not used to train AI models (per Anthropic and OpenAI's policies)
- Not analysed or used for research
- Yours to delete at any time through the app
You can toggle chat history saving on/off in your settings. When off, conversations aren't saved. When on, they're saved for your reference.
Automatic Deletion
Conversations inactive for more than 90 days are automatically deleted.
Communications
We'll send you:
- Transactional emails - Password resets, receipts, account notifications (you can't opt out)
- Product updates - New features, programmes (you can opt out)
- Marketing emails - If you subscribed to our newsletter (you can unsubscribe)

Essential Services
- Clerk - Authentication and email storage
- Stripe - Payment processing
- Anthropic & OpenAI - AI conversation processing (they don't train on your data per their policies)
- Vercel - Application hosting
- Neon (AWS US region) - Database storage
- Postmark - Email delivery (when implemented)
Future Services
- Analytics tools - Google Analytics or similar (with opt-out)
- Marketing pixels - LinkedIn, Facebook (with opt-out via cookie preferences)
Each of these services has their own privacy policy governing how they handle data.
Where Your Data Is Stored
- Database: Neon, hosted on AWS in the United States
- Application: Vercel (global CDN)
- Authentication: Clerk (their infrastructure)
- AI Processing: Anthropic and OpenAI (their infrastructure)
If you're in the EU/UK, this means your data is transferred to the United States. We rely on appropriate safeguards (standard contractual clauses) to protect your data.

You have the right to:
Access Your Data
Request a copy of all data we hold about you. Email: support@manager.how
Delete Your Data
Delete your account and all associated data through the app settings. This:
- Removes your account from Clerk
- Deletes all conversation history
- Removes your progress and profile data
- Cancels your subscription
Note: We cannot delete data from Anthropic/OpenAI's logs, but they don't retain conversation data long-term per their policies.
Export Your Data
Request a copy of your data for portability. Email: support@manager.how
Correct Your Data
Update your profile information in the app or contact us to correct anything we can't change through the UI.
Object to Processing
If you're unhappy with how we process your data, contact us to discuss.
Lodge a Complaint
If you're in the UK/EU, you can complain to your data protection authority:
- UK: Information Commissioner's Office (ICO)
- EU: Your local supervisory authority
Data Security
How We Protect Your Data
- Encryption in transit - All connections use HTTPS
- Encryption at rest - Sensitive data encrypted in our database
- Access controls - Limited access to production systems
- Regular backups - Automated backups for disaster recovery
If There's a Breach
We'll notify you by email within 72 hours if there's a data breach that affects your personal information.
Data Retention
While Your Account Is Active
- Profile data: Retained
- Conversation history: Retained (unless you delete it or it's >90 days inactive)
- Payment history: Retained for accounting/legal requirements
After You Delete Your Account
All data is deleted from our systems, except:
- Payment records (required for tax/accounting for 7 years)
- Anonymised usage statistics (if we implement analytics)
If You Cancel But Don't Delete
Your account and data remain until you choose to delete.
Cookies
Essential Cookies
Clerk uses cookies for authentication and session management. These are required for the service to work.
Analytics Cookies (Future)
When we add analytics, you'll be able to opt out through a cookie consent banner.
Marketing Cookies (Future)
When we add marketing pixels (LinkedIn, Facebook), you'll be able to opt out through cookie preferences.
Age Restriction
You must be at least 18 years old to use Manager.how. We don't knowingly collect data from anyone under 18. If we discover we have, we'll delete it immediately.
Business Changes
If We Sell the Company
Your data may be transferred to the new owner. We'll notify you by email at least 30 days before the transfer with details of the new owner's privacy practices.
If We Shut Down
We'll notify you by email at least 30 days in advance. You'll have the option to export or delete your data before we close.
If We Change This Policy
We'll notify you by email and post the new policy with an updated "Last updated" date. If changes are significant, we'll ask for your consent to continue using the service.
AI-Specific Disclosures
How the AI Works
- Your conversations are sent to Anthropic (Claude) and OpenAI for processing
- These providers process your messages to generate responses
- They don't use your conversations to train their models (per their policies)
- Conversations are encrypted when stored in our database
AI Limitations
- The AI coach provides guidance but isn't a substitute for professional coaching or therapy
- AI-generated responses may occasionally be inaccurate
- Don't share sensitive personal information you wouldn't want processed by AI
International Users
If You're in the EU/UK
You have rights under GDPR (see "Your Rights" section above).
If You're in California
You have rights under CCPA, including the right to know what data we collect and request deletion. Email support@manager.how.
Data Transfers
If you're outside the US, your data is transferred to and stored in the United States. We use appropriate safeguards (standard contractual clauses) to protect your data.
